Coordinator, Marketing & Communications

Start Date: October 2023 

Position: Coordinator, Marketing & Communications 

Classification: Administration 

Location: Remote (anywhere in Canada, main office based in Ontario) 

Job Status: Full-time, permanent 

Compensation: $50,000 – $60,000 annually plus comprehensive benefits package

SUMMARY 

Inspired by Chanie’s story and Gord’s call to build a better Canada, the Gord Downie & Chanie Wenjack Fund aims to build cultural understanding and create a path toward reconciliation between Indigenous and non-Indigenous peoples. We are a national Indigenous-led charity moving reconciliation forward.  

As part of the DWF team, the Coordinator, Marketing & Communications is responsible for the coordination of day-to-day communications and marketing initiatives. Reporting to the Director, Marketing & Communications, this position supports the advancement of DWF’s overall communications and marketing strategy. 

As DWF continues to rapidly grow and expand, a willingness to be nimble, flexible, and accommodate ongoing change is essential.  

KEY RESPONSIBILITIES 

Marketing  

  • Manage the production of print materials using a detailed workback schedule. 
  • Liaise with graphic designers, translators, other departments, and printers to ensure the timely delivery of marketing materials. 
  • Gather quotes for marketing projects as needed (printers, graphic design, photography, videography, etc.) 
  • Develop content, update processes and deadlines for all new content on the website to ensure site changes are accurate, on-time, and communicated to stakeholders. 
  • Support the planning and execution of events and initiatives to optimize fundraising and subscriber opportunities for the organization. 

Communications 

  • Copywriting for various materials and platforms.  
  • Ensure all communications meet DWF’s language guidelines.  
  • Edit and proofread all external communications (print and digital).  
  • Respond to media inquiries in a timely manner and coordinate interviews with spokespeople. 
  • Ensure media contacts are added to database for tracking and ongoing relationship-building. 

Email Marketing & Social Media 

  • Gather and prepare e-newsletter content from all departments to ensure DWF subscribers are informed of all upcoming events and initiatives. 
  • Ensure timely distribution of general e-newsletter and all other newsletters. 
  • Assist with coordination and posting a wide range of social media content from all departments. 
  • Assist in monitoring community engagement (comments, direct messages) on social media, responding, redirecting, and escalating as required. 

Administrative 

  • Track inventory of marketing materials. 
  • Assist with departmental workplans and workback schedules as required. 
  • Participate in staff planning meetings, strategic visioning, and program development opportunities. 
  • Utilize computer programs (spreadsheets and database software to prepare reports, memos, and documents) and maintain files and media records on SharePoint. 
  • Maintain knowledge of stakeholders (including media and vendors). 
  • Manage physical and digital documentation for DWF according to established procedures including tracking invoices and payments to external vendors and contractors. 
  • Coordinate administrative activities with external vendors (i.e. printers, events, translation, etc). 

QUALIFICATIONS 

  • Post-secondary education in marketing, communications, journalism, public relations or other related areas combined with 2-3 years work experience in communications and marketing, or an equivalent combination of education and experience. 
  • Must possess strong written and verbal communication skills in English. 
  • Proficiency in French is considered an asset. 
  • Indigenous language skills are considered an asset. 
  • Strong organizational/time management skills with an ability to manage multiple demands, meet deadlines, take initiative, and work as a member of a team. 
  • Demonstrated ability to write content for various platforms including social media, websites, and print material. 
  • Strong critical thinking and interpersonal skills. 
  • Experience working with Indigenous Peoples and communities is preferred and knowledge of Indigenous cultures, and traditions is preferred. 
  • Experience working with media is considered an asset. 
  • Proficiency in MS Office, CRM tools, database management systems, and Adobe. 
  • Experience in the charitable sector considered an asset. 
  • Current Police Record Check and Vulnerable Sector Screening is required. 
  • Travel: Ability to travel in the Toronto area and occasionally within Canada 

Preference will be given to: 

  • Candidates with lived experience of Indigenous cultures and heritage. 
  • Working knowledge of Indigenous traditional languages and/or French.

Development Associate, Partnerships

Compensation: $55,000-$65,000 annually plus comprehensive benefits package

SUMMARY

We are a national Indigenous-led charity moving reconciliation forward.  

As part of the DWF team, the Development Associate, Partnerships is responsible for supporting DWF’s corporate fundraising activities, including sponsorships, cause marketing, grants, program oversight, and other corporate engagement initiatives that align with and move forward DWF’s mission and goals. They will also support prospecting and relationship management for the Legacy Spaces program. 

Reporting to the Director of Development, the Development Associate, Partnerships will be responsible for helping to advance all corporate fundraising initiatives for DWF. As DWF continues to rapidly grow and expand, a willingness to be nimble, flexible, and accommodate ongoing change is necessary. 

KEY RESPONSIBILITIES  

Fundraising & Stewardship 

  • Work collaboratively with the Director, Development and other members of the Development team to establish and implement the annual fundraising plan with a focus on strategies for growing and maintaining corporate support 
  • Support the management and oversight of existing corporate partners, including regular management of activities, promotions, fundraising and reporting, and communication and partnership support 
  • Help to prospect, cultivate, solicit, and steward prospective corporate partners, including Legacy Spaces prospects 
  • Provide regular reports and updates on partnership and prospect activity to the Director, Development and President & CEO 
  • Conduct ongoing research into new corporate funding and partnership opportunities, seeking collaborative, measurable, and strategically aligned opportunities 
  • Work with the Director, Development to build and pitch proposals 
  • Support the administration of fundraising and sponsorship efforts, including forecast tracking, creating and maintaining annual solicitation, acquisition, stewardship, and reporting calendars 
  • Help to ensure the fulfillment of partnership and sponsorship benefits and deliverables, complex agreements with corporate partners, and contractual obligations 
  • Support the planning and execution of events and activities that advance the mission and fundraising goals of the organization 

General 

  • Take responsibility to increase sensitivity, awareness, and implementation of cultural teachings and organizational practices in a professional manner 
  • Participate as a representative of DWF at events within the community 
  • Build relationships to advance the mission and goals of DWF 
  • Support and work towards the overall vision and mission of the DWF 
  • Ability to work as a team member and within the organization framework including staff meetings, professional development opportunities, team building, and self-care 
  • Carry out other duties which may be necessary from time to time, as required  

 Administrative 

  • Ensure corporate partner accounts are updated and maintained regularly 
  • Utilize computer programs (spreadsheets and database software) to prepare reports, memos, and documents, and to maintain files and records on SharePoint 
  • Knowledge of stakeholders with an ability to network, create and maintain these relationships 
  • Coordinate administrative activities with external vendors as needed 
  • Manage physical and digital documentation for DWF according to established procedures

REQUIRED QUALIFICATIONS 

  • Post-secondary diploma/degree in fundraising, communications, business, or another relevant field of study (or equivalency) 
  • Minimum three (3) years of current work-related experience 
  • Discretionary skills to manage confidential information required 
  • High levels of accuracy, productivity, and initiative are required 
  • High attention to detail and strong written and verbal communication skills 
  • Strong time management skills with an ability to plan, define measurable objectives and outcomes, and meet timelines 
  • Ability to perform well under pressure and to assess and prioritize multiple priorities 
  • Proven analytical and problem-solving skills 
  • Knowledge of data regulations, privacy, ethical use of data, data sharing, and access management is considered an asset 
  • Experience with data fundraising software is considered an asset 
  • Exceptional knowledge of MS Office, SharePoint, Internet, and general office equipment 
  • Current Police Record and Vulnerable Sector Check is required
